Non Inclusions
Your membership does not include uniform, tickets to Stage Experiences (midyear and end of year performances), workshops, special events, or movie nights.
Enrolments automatically continue term-to-term for the full year. At the end of each year, you’ll receive class suggestions for the following season and will be automatically re-enrolled. You will then have an opportunity to adjust or withdraw before the new year begins.
Your membership takes into account weeks where lessons do not occur (i.e. School holidays) - spreading payments over 12 equal installments is designed to keep your payments as low as possible; whilst including most extras so you don’t have unexpected expenses later in the year.
Sparkle Season - Term 4
Sparkle Season is a highlight of the Future Gems calendar - a joyful opportunity for students to celebrate their growth and shine on stage. Participation in our Sparkle Season Stage Experience (End-of-Year Concert) is included in your annual dance membership; however, please note that concert tickets, additional uniform items, and optional extras are not included.
While performing on stage is an exciting and memorable part of Sparkle Season, it is only one component of the overall experience. Even if your child chooses not to perform on stage, they will still participate in all other class-based activities and celebrations, including Costume Try-Ons, Sparkle & Shine Week, Celebration Week, and our end-of-year disco event.
There are no reimbursements or reductions in tuition for students who do not participate in the stage component, as the program includes many valuable experiences that take place both on and off stage.
JOINING FEES
VIP Enrolment Period for Current 2025 Students
Current families receive early access to secure their preferred classes from 2nd November to 7th December 2025.
A non-refundable joining fee of $40 is required to confirm your child’s place (discounted to $30 during the VIP period) This fee is not a deposit and will not be deducted from your first instalment - it applies to the 2026 calendar year and covers administrative setup and class reservation.
The joining fee will be debited within 7 days of your enrolment submission. Families not enrolled in direct debit must pay this fee upfront; otherwise, the enrolment will be considered incomplete.
If you withdraw before classes commence, this joining fee is forfeited.
Withdrawals or class changes requested during the Christmas holiday period require 6 weeks’ notice (by 19 December 2025). Requests after this date may result in the first payment being processed as scheduled.
New Students (including siblings) who join for 2026
New students enrolling for 2026 before the dancing year has commenced will pay a $55 joining fee, which covers administration and reserves your child’s spot.
Each new student will also receive a special Welcome Pack including their class uniform*
Mini & Emerald Classes (Preschool – Grade 1): Purple Tutu
Sapphire & Amethyst Classes (Grades 2 – 6): Choice of T-shirt & Shorts or Leotard & Skirt
*Depending on which classes your child attends, there may be additional uniform items required for your classes which you can purchase from the studio, separately.
If you withdraw before classes commence, the joining fee is forfeited.
Withdrawals or class changes requested during the Christmas holiday period require 6 weeks’ notice (by 19 December 2025). Requests after this date may result in the first payment being processed as scheduled.
Once classes have commenced for the year, your joining fee will be calculated depending on the time of year you are joining as you will need to catch up on the inclusions you have missed. We will be able to let you know what this is before you enrol into classes.
For students that start mid term, your first instalment will be pro-rated to account for the lessons missed and your joining fee will also be added. Therefore, your first debit will be higher than the standard instalment, however your second debit will be as normal.
REFUNDS AND CREDITS
Once payments are processed, credits or refunds cannot be offered, except in exceptional circumstances at the sole discretion of the Director.
No refunds apply for change of mind, illness, injury, holidays, or government-enforced lockdowns.
Instalments will not be adjusted for partial attendance due to family commitments, school events, or personal circumstances.
PRIVACY & DATA PROTECTION
Upon enrolment, families complete a direct debit authorisation via Worldpay (previously known as Payrix.)
All personal and financial information is handled confidentially and in accordance with applicable privacy laws. Details are used solely for class management (ThinkSmart Software) and payment processing (Worldpay).
Worldpay is PCI-DSS Level 1 certified — the highest standard of online payment security.
By enrolling, you authorise IDC Creative Co Pty Ltd T/A Future Gems to process tuition and Annual Dance Membership payments automatically via Worldpay/Payrix.
NON-PAYMENT & ACCOUNT ARREARS POLICY
If a payment fails or is dishonoured, a $10 fee will automatically apply. The outstanding amount plus this fee will be re-processed within 7 days.
If two consecutive payments fail, the student’s account will be placed on hold and class attendance may be suspended until full payment is made.
If fees remain unpaid beyond 14 days, Future Gems reserves the right to terminate enrolment and pursue recovery of outstanding amounts. During any period of arrears, access to studio inclusions or costumes may be paused until the account is up to date.
CLASS CHANGES & WITHDRAWALS
Adding a class
If you’d like to add a class mid-term, this can be arranged at any time. The additional class will initially be processed as a separate direct debit until the end of the current term (three payment cycles) After that, it will be merged into your existing Annual Dance Membership.
A catch-up fee will apply to cover class inclusions and materials missed prior to joining the new class. This amount will be confirmed before the class is added.
Dropping a class
We understand that circumstances can change, and you may need to drop a class. To maintain consistency for all students and ensure smooth studio operations, we kindly ask that, where possible, any class changes take effect from the start of a new term.
If you need to drop a class mid-term, your 4-week cancellation period still applies and must be submitted through the official Change of Enrolment Form. Changes requested verbally, by text, or by email will not be processed.
Please note that if a class is dropped, you are not entitled to a refund or reimbursement for inclusions already allocated (such as costumes or milestone items) nor will instalments be reduced for inclusions not yet received.
Dropping a class does not terminate your Annual Dance Membership - only a full withdrawal will pause future payments.
Withdrawing from the studio
All cancellations or class changes require a minimum of 4 weeks’ written notice, submitted through the official Changes to Enrolment Form. Cancellations received verbally, by text, or by email will not be accepted.
If notice is not received at least 4 weeks before a scheduled payment, that instalment will be processed as normal. Future payments will only be paused from the date the notice period expires.
During the 4-week notice period, your child is welcome and encouraged to continue attending classes. Refunds will not be issued for missed classes during this time.
If you withdraw from the studio you are not entitled to a refund or reimbursement for inclusions already allocated (such as costumes or milestone items) If a student withdraws from the studio before all inclusions are received, these items are forfeited.
Families rejoining within the same calendar year will be charged a rejoining fee to cover missed inclusions, plus a $15 administration fee for reactivation. Re-enrolment is subject to class availability and the current membership rates at the time of return.

HOLIDAYS & EXTENDED LEAVE
We understand that family holidays or other commitments may occasionally prevent your child from attending class. To ensure fairness to all families and the smooth operation of the studio, the following options apply:
Option 1 — Maintain Your Membership
Continue your regular 4-weekly payments to hold your child’s place in class and keep all inclusions up to date.
Upon return, your child may use any remaining makeup classes within their annual allowance (up to 8 makeup classes per calendar year, per enrolled class) to cover missed lessons, subject to class availability. Please refer to the makeup classes policy for full T&Cs.
Option 2 — Pause Your Membership
If your child will be away for an extended period and you prefer not to continue payments, you may request to temporarily withdraw from the studio and your Annual Dance Membership.
Re-enrolment upon return will require:
A catch-up fee to cover inclusions missed during the pause period, and a $15 administration fee to process re-enrolment.
While every effort will be made to accommodate your original class placement, we cannot guarantee availability, as your child’s spot in the class may be filled during your absence.
ALTERNATIVE PAYMENT METHODS
To streamline operations and ensure our teachers can focus on teaching (not chasing payments) all families are encouraged to use direct debit for their Annual Dance Membership.
Families choosing not to use direct debit may pay upfront for each term during a 6-month transition period (January – June 2026) at a higher rate.
Those on direct debit receive discounted pricing.

Late payments will incur a $10 late fee and potential suspension from classes if unpaid beyond 14 days. All current families must transition to auto-pay by 1 July 2026 to maintain class access.
All new families in 2026 will automatically be on the direct debit system, including current families who choose to pause Term 1 and rejoin later in the year. Please note, you must be enrolled for 2026 classes prior to the 9th of January 2026 in order to be eligible for the upfront non direct debit option.
MAKEUP CLASS POLICY
As an act of goodwill, each student is entitled to 8 makeup classes per calendar year, per enrolled class, to cover any lessons missed due to illness, holidays, or personal circumstances.
Makeup classes may be booked at any time throughout the dancing year, subject to class availability, and must be scheduled in advance through the studio. Makeup classes can only be booked after a lesson has been missed — they cannot be reserved in anticipation of a future absence.
Makeup classes can only be attended while regular classes are operating and cannot be used for holiday programs, workshops, or special events.
Any unused makeup classes at the end of the calendar year are forfeited and cannot be transferred, carried over, or refunded under any circumstances. Makeup classes are non-transferable between siblings or other students.
If you choose to use makeup classes for an extended absence (for example, a family holiday), those lessons will be deducted from your annual allowance of eight. No additional makeup classes will be granted beyond this limit, even if further absences occur later in the year.
If you withdraw from the studio and your Membership payments are paused or cancelled, you will lose access to any unused makeup classes. Should you re-enrol later in the same year, we will confirm how many makeup classes you are eligible for at that time.
Makeup classes are only available to accounts that are fully up to date with payments. Students with outstanding fees will not be eligible to book or attend makeup classes until their account balance has been cleared.
ADDITIONAL PURCHASES
All additional items (uniforms, workshops, etc.) must be paid for at the time of purchase. If we do not receive payment at the time of purchase, we will send you an invoice, payable immediately. If the items remain unpaid after 7 days, Future Gems reserves the right to debit the outstanding balance within 24 hours via your nominated payment method.

All communication between families and staff must occur through official Future Gems channels:
Email: family@futuregems.com.au (enrolled families email)
Studio phone numbers: 0468994488
Website: www.danceclasseshornsby.com.au
BAND app for class announcements and resources
Studio-related discussions such as fees, scheduling, or performance details must not be conducted via personal social media or messaging apps. We operate with an open-door policy and warmly encourage families to reach out anytime by emailing family@futuregems.com.au for assistance or feedback.
Staff are not permitted to communicate with families via private social media accounts, and families must not add or follow teachers online.
Any online conduct that is deemed to be defamatory, discriminatory, or harmful toward Future Gems, staff, or students may result in dismissal from the studio.
PHOTOGRAPHY & MEDIA RELEASE
Future Gems regularly captures photos and videos throughout the year to celebrate student progress and showcase the joy of dance. These may be used for promotional and educational purposes, including but not limited to: social media, newsletters, printed materials, local media, on our website or at internal staff training events.
By enrolling, parents and guardians grant permission for Future Gems and Tash Schuddeboom to use photos or video footage of their child in such materials.
If you prefer not to have your child’s image used for advertising or promotional purposes, you must notify the studio in writing via email each calendar year.
Please note that:
Changing your preference mid-year will be respected moving forward, but previously published materials cannot be retroactively altered or removed.
Some images and footage may also appear on-screen at Future Gems performances. If you do not wish for your child to be included, please notify us in writing before concert season.
Classroom Footage:
Future Gems uses a private, secure communication app (BAND) for class updates and at-home practice support. From time to time, group photos or videos are shared within class groups. These are an essential part of learning and cannot exclude individual students due to formation or choreography purposes. The BAND app has strong privacy settings, including download restrictions, to protect all families.
Parent Photography:
We understand that celebrating your child’s milestones is special. However, please ensure that any photos or videos taken during classes or performances feature only your own child, unless explicit consent is given by other parents. You are welcome to share and tag us at @danceclasseshornsby - we love celebrating your dancer’s achievements alongside you!
SUPERVISION, SAFETY & BEHAVIOUR
Before & After Class
At Future Gems, your child’s safety and wellbeing are our top priority. We are committed to providing a caring, nurturing, and professionally supervised environment at all times.
Parents and guardians are responsible for their child’s behaviour and supervision while on studio premises, including car parks, bathrooms, and waiting areas. Teacher supervision begins once class has commenced and concludes immediately when class ends.
Students must always be accompanied by a parent or guardian to and from the studio. For safety reasons, children are not permitted to walk to or from the car park unaccompanied. Parents and guardians are responsible for ensuring their child safely enters and exits the building, and must exercise caution when driving in or around the car park and venue surroundings.
To ensure classes run smoothly and on time, please arrive promptly for both drop-off and collection. If you arrive early, we ask that you remain with your child until their class begins, as students should not be left unattended in the waiting area prior to class. Repeated early drop-offs or late collections (more than five minutes before or after class) that require staff supervision may incur a small child-minding fee to cover additional staffing time.
Siblings & Waiting Areas
Siblings who are not enrolled in a class must remain supervised by a parent or guardian at all times. Staff are not responsible for the supervision of non-participating children.
Behaviour & Conduct
All students and families are expected to demonstrate respect, kindness, and consideration towards staff, students, and other families at all times. Future Gems maintains a zero-tolerance policy for behaviour that is unsafe, disruptive, or inconsistent with our studio values. We reserve the right to suspend or terminate enrolment if conduct is deemed inappropriate or unsafe.
HEALTH, MEDICAL & SAFETY POLICIES
All staff hold valid Working With Children Checks and follow strict safety protocols.
Participation in any Future Gems class or activity is voluntary and at the participant’s own risk. While every effort is made to ensure a safe environment, Future Gems, its directors, and staff are not liable for personal injury, loss, or damage sustained on the premises or during participation in any studio-related event.
Parents/guardians are responsible for ensuring their child’s fitness and wellbeing are suitable for participation.
Parents/guardians must inform the studio of any medical conditions or allergies that could impact participation, and provide relevant action plans at the start of each year or when changes occur.
Staff may administer basic first aid and call an ambulance if necessary, at the parent’s expense. Future Gems staff are not permitted to administer medication, except in emergencies (e.g. EpiPen or inhaler use, as per medical action plan).
The studio is strictly nut-free, and only water is permitted inside classrooms.
UNIFORM & PERSONAL BELONGINGS
We kindly ask that all students wear the correct Future Gems uniform and footwear for each of their classes. Our uniform helps students feel confident, safe, and part of the team, while ensuring proper technique and injury prevention.
For safety reasons, jewellery should be kept to a minimum. Only small stud earrings may be worn in class, as larger or dangling items can pose a hazard during movement. Future Gems cannot accept responsibility for any lost, damaged, or misplaced personal items.
PERSONAL INFORMATION
Families are responsible for ensuring all contact, medical, and emergency details remain up to date. Updates must be submitted promptly via email to family@futuregems.com.au.
Future Gems is not liable for missed communications due to outdated or incorrect information.
FORCE MAJEURE
In the event of circumstances beyond our control (including pandemics, natural disasters, or government restrictions), classes may move online or be rescheduled. Refunds or credits will not be issued when classes continue to be reasonably delivered in another format.
VENUE ACCESS
Future Gems operates across multiple locations. Families must respect the property and policies of all venues. Studio access codes for council-run venues must not be used outside of class times, nor should they be shared with any family not currently enrolled at Future Gems.
ACKNOWLEDGEMENT
By enrolling, you acknowledge and agree to the Terms & Conditions of the Future Gems Annual Dance Membership (2026) and authorise all payments as per the outlined schedule.
