TERMS & CONDITIONS
1. ENROLMENT
• Samarpana classes operate on a term-based enrolment system.
• Once enrolled, the student’s enrolment continues each term until a written request is submitted via email to: info@samarpanainstitute.com.
• For new students enrolling mid-term, fees for that term will be calculated on a pro-rata basis.
2. DIRECT DEBIT PAYMENTS
• At the beginning of each school term, families receive an invoice for the full term fee (10 weeks).
• The term fee is processed via three equal monthly instalments, debited on the 1st of each month.
• If the 1st of the month falls on a weekend or public holiday, the fee will be processed on the next working day.
• Payments are processed securely through WorldPay (previously Payrix).
• A valid bank account or credit/debit card must be provided at enrolment.
• Enrolment continues automatically each term unless a written withdrawal request is submitted.
Please refer to the following charges by WorldPay for direct debit processing:
Data Storage and Compliance (new customer, once-off payment): $2.20
Bank Account Transaction Fee: $0.88
Visa or Mastercard Transaction Fee: $0.33 + 1.87% on transaction value
Amex Card Transaction Fee: $0.33 + 3.5% on transaction value
Additional 1.10% applies to international credit cards
Failed Transaction / Card Rejection Fee: $4.40
3. CUSTOMER RESPONSIBILITY FOR PAYMENT METHOD
Customers are responsible for ensuring that:
• Their nominated payment method is valid, active, and funded.
• Expired, stolen, or replaced cards are updated immediately via the Customer Portal.
• Sufficient funds are available before each debit date.
Samarpana Institute of Dance is not responsible for failed payments due to outdated or invalid payment details.
4. FAILED OR REJECTED DIRECT DEBIT PAYMENTS
If a payment fails:
• A $4.40 failed transaction fee charged by WorldPay will be applied to your next transaction.
• The failed payment will be re-attempted 7 days later.
If the second payment also fails:
• You must contact us immediately.
• You must resolve the payment issue and update your payment method via the Customer Portal.
• No alternative payment methods (bank transfer, cash, or manual payments) will be accepted.
• The outstanding balance must be successfully debited via your updated payment method.
Late Fees & Suspension:
• If unresolved 7 days after the second attempt, a $25 late fee will apply.
• If unpaid 14 days after the second attempt, the student may be withdrawn, and the place offered to another family.
5. MAKE-UP CLASSES
• Make-up classes may be offered only if another suitable class at the same level is available.
• Make-up classes are not guaranteed.
• Make-up classes must be used within the same term.
• No credits or refunds are provided for missed classes.
6. WITHDRAWAL FROM CLASSES
• Requests to pause or withdraw from enrolled classes must be made in writing via email ONLY, at least 2 weeks before the start of a new term.
• Mid-term withdrawals are not permitted.
• No refunds or credits apply to mid-term withdrawals or unattended classes.
• Refunds or credits may only be considered in extenuating circumstances, such as medical reasons, bereavement, or family emergencies. Relevant evidence may be required, and approval is at the discretion of Samarpana Institute of Dance.
