Due to privacy, photography and videoing is strictly prohibited. You must gain approval by The GAC Management Team prior to taking photos or videoing.

Breakable products (glass, ceramics, etc.) are not permitted in the pool hall. If you do have drinks/food in a breakable product, please see the café for it to be transferred to a paper cup/container.

The Goodfellow Aquatic Centre and Kardinia International College is a Non-Smoking Zone. It is prohibited to smoke in and around the facility and Kardinia International College.

You must not behave in a way which:
• Is disrespectful of other patrons
• Interferes with the enjoyment of the premises by other patrons
• Endangers or causes injury to other patrons
• Obstructs or prevents GAC and KIC Staff from performing their work
• Causes damages to the premises or any property

Obey all signage and direction as provided by GAC and KIC Staff Members.

To help us protect the privacy of all swimmers and their families, please ensure that no photos or videos are taken during lessons or squad times.

KIC employees (eg Coaching and Aquatic Staff) may be required to take videos or photographs for training or promotional purposes. If you do not wish for your child to be photographed, please address this in writing to aquatics@kardinia.vic.edu.au

This service is committed to child protection and child safe environments.

A child is any person aged from birth to eighteen years (UNICEF).

Kardinia is committed to the safety, wellbeing and support of all young people within our centre. Management, Staff and volunteers will treat all children with the utmost respect and understanding. In making this commitment to provide a safe and friendly environment, all children will be made to: Feel safe and protected from harm. Be heard. Be respected and have input into planning and activities. Have their best interests considered and upheld.

The centre acknowledges that in order to maintain a safe and nurturing environment a strong commitment must be made to the training and development of management, staff and volunteers. To this end we will ensure, we all build upon our knowledge of:
- Child abuse and protection.
- How to access support services.
- Risk management

Parent Supervision

We aim to protect the safety of everyone in the Aquatic Centre and keeping walkways and the pool deck clear allows for prompt access in an emergency or first aid situation. To ensure the safety of all patrons, Parents are asked to sit on the viewing stands or in the café area during Learn to Swim.

Along the window side of the pool is restricted space due to the narrowness of the walkway and the requirement of staff to have ease of access at all times, please do not sit in this area as this goes against our OH&S policies. Parents of students swimming in the toddler pool are encouraged to speak with the Goodfellow Aquatic Centre staff in relation to safe viewing points during these classes.

Fees are payable in full, by the payment due date listed on the invoice.
Payment may be made by the following methods:
• Online (preferred method via our customer portal)
• Over the phone with the KIC swim school team using credit card (preferred method)
• Eftpos/Credit card (Visa, MasterCard, AMEX) at The Goodfellow Aquatic Centre (Not available Term 4 2021 due to covid restrictions)
• Cash at The Goodfellow Aquatic Centre. (Not available Term 4 2021 due to covid restrictions)

We DO NOT have direct deposit or BPAY facilities available.

Due to some families changing lesson days after paying term invoices, there may
be small discrepancies shown on the new term’s bill. For example, if you had originally paid for a Monday session consisting of 9 lessons in a term (10 week term with a public holiday) and you moved to a Thursday session with 10 lessons.

If payment has not been made by the due date, students will be removed from their assigned class and we cannot guarantee the same day or time being available at a later date.

Please contact KIC Swim School if you would like to discuss further payment or class options prior to the payment due date. Payment extensions will be granted up to 1 week prior to the commencement of the term, if contacted prior to due date and a 20% payment of the term invoice paid. Once the payment due date has passed we cannot guarantee that classes will still be available due to demand.

Squad fees are calculated differently to lessons. Lesson fees are calculated weekly, while squad fees are per quarter, public holidays & term holiday training have been factored into annual fee calculations.

Membership can be voided, if written notification is provided prior to the commencement of the KIC Swimming Program term.
Cancellations received after term payment is made and up to seven (7) days prior to the commencement of the swimming term will receive a refund, less a $20 administration fee.
Cancellations made between seven (7) days and one (1) day prior to the commencement of the swimming term will receive a refund, less 20% of the term fees paid.
No refunds will be provided once the program term has commenced unless for medical reasons, outlined below.
All terms and conditions of membership are binding once the first day of the program term commences (e.g. if class is on a Saturday the program term still commenced on the first Monday of the term, not on the Saturday when the first class is held).

Refunds (on presentation of a medical certificate only)
Refunds or credits are available for medical reasons only if missing more than two (2) consecutive lessons. For two (2) or less missed lessons make up lessons will be made available only.

Notification of missed lessons must be received prior to 12pm on the day of the lesson for weekday classes, and before 8am prior to weekend classes. This can be done by either notifying through the customer portal or by calling (03) 5247 3225 and leaving a time stamped message.

A medical certificate for the missed lessons must be sent through within three (3) business days from the date of the absence to be eligible for a credit or refund to be applied. Please note that the medical certificate must state the child’s name and the dates of unattended lessons. Refunds or credits will not be given to siblings missing lessons at the same time, unless they are also unwell and have a medical certificate supplied.

The completion of a refund request form is required to be eligible for a refund of swimming fees. Refunds will not be issued to any person other than the registered customer name on our system. Refunds are issued from the date the completed request form is received at the office. An administration fee of $20 will be deducted from all refunds. An administration fee will not be applied if money is remaining in credit for future lessons or programs.

Make up lessons are only available due to illness/injury or prolonged holidays – space permitting. For students in private lessons a make up class will be performed in a group lesson only, not in a private class.

There is a maximum of two (2) make-up lessons per term, unless prior arrangements have been made with KIC Swim School management.

The office is to be notified of non-attendance by 8:00am for Saturday lessons or 12:00pm for after school lessons on the day of the lesson, preferably via the customer portal OR via email at aquatics@kardinia.vic.edu.au. OR via phone. The office number is (03) 5247 3225 – if the call is not answered please leave a message on the answering machine, which is time and date stamped.

• Make up classes are subject to availability and space in the program, day and time will vary depending on Level.
• No makeup classes are to be booked in the first 2 weeks of the school term.
• No makeup classes are given for non-attendances in the last week of term.
• Makeup classes for missed classes cannot be transferred to the next term or refunded, including Holiday Programs.
• Absences can only be recorded up to four (4) weeks in advance
• Makeup classes can only be booked 2 weeks in advance.
• We cannot guarantee availability of make up lessons as this is dependant on space available within an existing class, and you may need to check the app each day to see if availability appears due to families notifying absences.

The Goodfellow Aquatic Centre will be closed on the following public holidays:
• Australia Day weekend
• Labour Day weekend (Saturday and Monday classes)
• Good Friday – Easter Monday
• Anzac Day
• Queen’s Birthday weekend (Saturday and Monday classes)
• AFL Grand Final (Friday and Saturday classes)
• Melbourne Cup (Tuesday classes only)

In addition to the dates listed above, the Goodfellow Aquatic Centre will close for 3 weeks over Christmas / New Year, and for 1 week in the June / July holidays.

Classes will still run on Kardinia International College student free days, unless the day also falls on a public holiday. As the swim school is also open to the wider community, and not just the school community, we will not cancel lessons for a student free day.

You can mark an absence for these lessons and be eligible for a make up class if you do not wish to attend on these days, in line with the make up lesson policy (2 make ups per term provided that absence is noted in the customer portal, via phone or email prior to 12pm on the day of lessons).

We will advise dates where lessons are not running due to public holidays when invoices are issued, at the commencement of term, and during weekly focus updates on our Facebook page.

It is recommended students wear a swim cap (although it is not inforced by KIC Swim School) and goggles. These can be purchased from the front desk of the Goodfellow Aquatic Centre.

It is a minimum requirement that hair is tied back for lessons to provide a more conducive learning environment.

Swim wear must be appropriate to the activity and the school enviroment at all times.

Lap Swimming is available to Kardinia International College Staff, Students, Alumni and immediate family of current students only at this time.

Lap swimming is currently offered on Weekday mornings during school term only and must be booked using the booking form published on KIC Online.

Bookings must be confirmed by GAC staff to ensure that sessions are not overbooked.

KIC Swim School will follow the Victorian Government advice and restrictions at all times. By registering for our swimming program, you understand that mask requirements, spectator numbers, entry and exit processes, vaccination requirements, QR code check in and any other applicable operating restrictions and requirements are all part of attending the facility for lessons. These restrictions can change and we will endeavour to advise customers of any changes as soon as possible, once we are made aware of them.

If you do not agree with the mandated requirements and do not wish to follow the requirements as set out by the Victorian Government, and do not follow the directions of staff whilst you are attending the facility, you will be asked to leave the facility and in extreme circumstances your enrolment in the program will be cancelled and all paid fees may be forfeited in order to ensure the business meets its operating requirements.

Whilst currently (as of 30 November 2021) the vaccination requirements for those attending swimming lessons has reverted to allow unvaccinated persons to access swimming lessons (vaccination required for those attending for Squad and lap swimming) it is highly recommended that anyone registering for the program meet the vaccination requirements for other sport and rec facilities (fully vaccinated 12 years and 2 months and older) as if restrictions revert back to vaccination required we will have to implement immediately.
