Term Re-Enrollment
Current participants enrolled in Blackwood Tennis Academy (BTA) lessons are given priority for the next term. All participants are automatically re-enrolled for the following term – in the same class on the same day at the same time (unless advised before the start of the term). Payment must be made by the due date. If you do not wish to continue lessons, please let us know as soon as possible.
PLEASE NOTE: If payment is not received by the due date, your place in the program may be lost. If you don't notify us of your wanting to not continue with your lessons this must be done before the first lesson otherwise you may be charged for that lesson.
Annual Re-Enrollment
Current participants automatically re-enroll each term. If you need to change days or times please contact the Director prior to re-enrolling.
Changing Programs
BTA strongly suggests allowing flexibilty for students to be placed in the right group based on ability. At all stages we will endeavour to have kids similar standard and where possible age as well. If a participant would benefit from moving to a different level, they will be contacted to discuss the options. Ability is the main reason for group change rather than age.
Important Information
Once payment has been received your place will be confirmed in the program. Your selected spot is held for you, so if you require a change of day or time for the next term, please let BTA know prior to the payment due date. accommodate your preferred options, however should all classes be full, then you must remain with the original day and time.
Payments And Refunds Policy
Full payment is required by the start of the new term. If the terms of the account exceed 7 days from the Invoice Payment Due Date, a $10 late payment fee will apply and any discounts may be lost.
No refunds will be given for non-attendance at group or private lessons. A refund or credit may be offered if you have a valid medical reason which prevents you/your child from attending three or more classes in a row.
Method of Payment
Payments must be made by Direct Debit (details on the invoice) or cash.
Late Payments
If payment is not made on time or an arrangement made by contacting BTA beforehand, your child may be removed from the Class List, and the Coach will not allow the child to take part in the lesson.
Privacy Policy
BTA will only store information relevant for coaching and billing purposes and this is only accessible by the Director. Private information will never be shared with a third party or advertising agency.
Safeguarding Children Policy
BTA is committed to ensuring the sport of tennis is a safe and friendly environment for children and young people. We have a zero tolerance approach to any form of child-abuse. We are committed to using best practice standards in recruitment, screening and employment of all BTA coaches. We strive to create an environment in which children are safe and feel safe. The player/s well being and enjoyment is the culture we first aim to create, reflected in our policies and procedures, and understood and practised at all levels.
Supervision Of Juniors Policy
BTA coaches are not responsible for supervising children outside of lesson time.
Weather Policy
If lessons are washed out please visit Blackwood Tennis Academy (FB @ blackwoodtennisacademy) or if in doubt please text. We try to make decisions 30min in advanced if the weather is an issue however in some cases this is not possible. If you have not heard from us please always assume the lesson is on. Please do not call us. Excessive Heat: Group lessons may be cancelled if the temperature at the venue is, in our judgment, likely to be excessively hot during the lesson time, usually if this 36 degree celsius or above.
Wash Outs
If lessons are washed out make up lessons are available. We will ensure that all players get the opportunity to play and not miss a class, however it'll be your responsibility to notify us of which days you're are available and can attend on an alternative day. If this is not possible please contact us and we will look at alternative options.
Cancellation Policy
Group Lessons: After booking in your child, written notice must be given of decisions not to continue in class. Term Fees are payable if notification not provided by first week back of each term as we hold your spot.
Private/Semi-Private Lessons: Cancellation must be given 24 Hours in advance of lesson to reschedule. If both participants cancel with more than 24 hours notice the lesson will be made up at a time mutually agreed between the parties, however if one pupil is to miss no make-up class will be offered as the session still goes ahead with the other pupil regardless.
All classes cancelled by BTA will be made up at a time mutually agreed between the parties. Make up lessons will only be given if the participant is unable attend due to injury or illness (sufficient notice needs to be given), or the lesson is unable to go ahead due to extreme heat policy or wet weather policy.
Late Cancellation
All cancellations made by the participant, with less than 24 hours notice, will be charged as if the lesson took place. No make-up lessons will be given for late cancellations.
Missed Class Policy
Make up lessons are permitted under the following conditions only:
Absences must be communicated to BTA 24 hours prior to the class time and the request must be made for a make up lesson.
Make up lessons are subject to availability of an appropriate and equivalent program place.
A maximum of 2 make up lessons are permitted per term.
Make up lessons are not transferable to other terms or participants.
NOTE - all make up lessons must be completed during the enrolled term and no credit will be available for not booking a make up lesson. Make up lessons will be offered for lessons lost due to inclement weather (Wash Outs Policy)
Squads Policy
Squads groups can opted to attend an indoor session (where available due to new club house being built). If less than 3 players attend it maybe cancelled altogether and make up class arranged.
Credit Policy
Lesson payments are non-refundable.
Public Holidays And Long Weekends Policy
There will be no coaching offered on public holidays.
Injury Policy
BTA will act according to their best judgment in any emergency requiring medical attention. I release BTA from any and all liability for injury or illness and costs, incurred while undertaking a program or event.
Images and Video Policy
Photographs and Video may be taken and used in promotions by BTA on social media, marketing material and on the website. If you wish for your child not to have any photo taken for skill development analysis, social media promotion or marketing please email us. We ensure that all photo's are either kept in a secure file only available to the head coach and/or deleted once used.
