POLICIES
ABSENTEEISM, WASH & HEAT OUT - MAKE-UP POLICY [Juniors, Adults, Cardio, Jun Comps]:
It is the pupil’s responsibility to attend all classes per term / semester. We do not offer credits / refunds. If classes are not held [rain/heat out] or you miss a class [absenteeism] we offer make-up lessons. FTA offers make-up classes seven days a week and across all of our main venues during the school term. (Make-up for Fri Comp is made up by booking into the HS tournaments over the two weeks of the school holidays and can be requested through the office). Make up classes expire after 10 Weeks from the class; these 10 weeks are inclusive of holiday breaks. Make-ups are provided only if the pupil has notified at least 3 hours in advance of the class commencing.
HOW TO BOOK A MAKE-UP LESSON? [Login enquiries please call the office 9813 8484]:
To access the customer portal either download the ThinkSmartPortal app or go to our website and click on the customer portal button on the front page. Once into the customer portal your makeups will appear within 24 hours of your cancelled class. Please be sure when creating your account to use the same email that was provided to us for your account login. You may book into any classes of your standard which suits your availability. Unfortunately, we cannot do make-up classes through the office.
CHANGING & DISCONTINUING CLASS POLICY:
It is expected that pupils will remain in the same class until the end of term/semester. If, though, you must change class midterm/semester please call our office. The booking day/time we have selected is the best class we can offer you within your availability, therefore, if you change time, we cannot guarantee an alternative class can be found that is “as” suitable. If a pupil decides to discontinue coaching for any reason apart from a long-term injury [refer “Credit Policy”] you will not be eligible for credit or refund.
COACH REPLACEMENT:
In the event your coach is unavailable to attend your class FTA reserves the right to provide another coach, or, to postpone the class.
CREDIT POLICY - Long Term Injury/Illness:
Credit will only be given for pupils who have a long-term injury/illness that prevents attendance at classes for three weeks or longer. To be eligible we must be sent a signed Medical Certificate. Once pupils resume the pro rata amount of credit you are eligible for may be used for the following terms coaching. Credit can only be used for the same person & program that you originally booked in for and cannot be transferred from one sibling to another. Pupils who are injured/illness for 2 weeks or less please refer to absenteeism policy.
FEES POLICY- payment in advance to be eligible for FTA Public Liability Insurance:
An invoice is sent by email & should be paid by the due date. There are no refunds under any circumstances. Bookings are only confirmed once fees are paid, therefore, pupils who do not pay fees by the due date may lose their class time to await list pupil. Once your fees are paid in full you will be covered for Public Liability Insurance. Your class booking is ongoing from term to term.
GRADING / ASSESSMENT / FEED-BACK POLICY:
New pupils are initially graded into classes based on age & experience. We have many different programs for all standards. If after coach assessment, we deem you are graded inappropriately we guarantee we will make every effort to find a suitable class subject to your availability. Pupils graduate to more advanced programs subject to coach assessment at the end of each semester. All concerns about on-court coaching matters please speak directly to the coach. If you would prefer to change coach, or have other feed-back, please email the office.
PROMOTIONAL POLICY AUTHORISATION:
By enrolling into our programs, you also authorise Futures Tennis Academy the right to use images [photo’s, video] of the participant/s in the program for strictly promotional purposes only i.e., promotional flyers and posters, Futures website, Tennis Australia database etc. If you have any objection, please advise us before the term so we can delete you from any promotional photo’s or other promotional material.
PUBLIC HOLIDAYS NO TENNIS COACHING:
You are not charged for a public holiday.

RAIN / HEAT OUT POLICY:
In the event of a wash/heat out at 37C or above we text you a message as soon as a decision is made. If you do not receive a text message, please assume lessons are going ahead. Classes that are rained out during coaching are completed by holding an indoor theory lesson. ONCE A WASH OUT IS DECLARED THE ENTIRE NIGHTS COACHING IS CANCELLED AND MAKEUPS WILL APPEAR IN YOUR CUSTOMER PORTAL.
WEATHER IS UNPLEASANT HEAT / WIND / COLD?:
Classes may be conducted in unpleasant weather conditions e.g. drizzle, heat, cold, wind etc. and will only be cancelled in the event weather conditions make playing tennis dangerous. At all times we take our duty of care seriously.
PRIVATE CLASSES - TERM BOOKING DISCOUNT:
Permanent private classes allow you to book a time slot for the full term at a discount rate. Make up classes expire after 10 Weeks from the class; these 10 weeks are inclusive of holiday breaks.
PRVATE CLASS - PRIOR DAYS’ NOTICE OF ALL CANCELLATIONS or FULL FEES PAID:
If you cannot attend a private class, it is up to you to notify us via the customer portal at least 10 hours prior to the start of the lesson. With 10 Hour prior notice you are still eligible to make up the lesson missed subject to all lessons having been completed before the end of the term school holidays. If 10 hours’ notice is not received, you forfeit the entire payment of that class. We encourage you to invite another family member, or friend, to attend the class if you are unable to attend. In the event of a wash/heat out you will receive a makeup within your customer portal. [NB: FTA’S over-heads are paid in advance therefore FTA still incur the costs of conducting your class.]
