TERMS & CONDITIONS - PLEASE REVIEW THOROUGHLY
This document outlines essential information on cancellations, account management, notifications, and communication. It is imperative that you read and understand the following terms and conditions:
RE-ENROLLMENT: All students are required to re-enroll at the commencement of each new year, however, students are automatically re-enrolled from term one through term four. To cancel tuition, please send an email to whittleseamusic@bigpond.com.
INVOICING: Invoices will be emailed at the beginning of each term and must be paid by the specified due date.
LATE PAYMENTS: Accounts in arrears two weeks after the due date will incur a $30.00 administration fee. If payment is not received within 7 days of the late fee being issued, lessons will be suspended until the account is paid.
NOTIFICATIONS OF ABSENCE: Whittlesea Music must be notified of an upcoming absence by 5PM the day before the scheduled lesson. If notice is given within this timeframe, a make up/credit will be applied to your account. Full payment is required if notice is not given in time. Please ensure to advise us of any future lessons that may require cancellation due to school curricular clashes/camps. Notice of cancellation must be given via email: whittleseamusic@bigpond.com.
REFUNDS AND CREDITS: All fees are non-refundable. Credits for missed lessons will be retained in the system and can be used to arrange replacement lessons.
TEACHER ABSENCE: In the absence of your regular instrumental teacher, Whittlesea Music will endeavour to provide a temporary replacement. If we are unable to do so, a makeup lesson or credit (deducted from the following term invoice) will be arranged.
PAYMENT METHODS: Payments can be made via credit card, EFTPOS, or through the online payrix link (please note a $0.33 cent surcharge applies to all online payrix payments). Payment plans can be arranged via direct debit of fortnightly payments.
WELCOME PACK FEE: A one-time fee of $10 will be charged to new students for a welcome pack. The pack includes a Whittlesea Music tote bag, display folder, and exercise book.
COMMUNICATION: After each lesson, you will receive an email for your child with ongoing feedback, including weekly practice requirements. Please check these emails regularly.
LESSONS BOOK: If lesson books are required for your child's lesson we will recommend which books to purchase. You are welcome to purchase the book(s) directly through Whittlesea Music. If you would like to purchase through us, please advise and we will generate an invoice for you.
PRACTICE ENCOURAGEMENT: Parents are strongly advised to encourage students to practice regularly. This helps foster consistent progress in their musical growth.
CHILD SAFETY STANDARDS: Our organisation adheres to the 11 child safety standards effective from July 1, 2022. For details, visit https://ccyp.vic.gov.au/child-safe-standards/the-11-child-safe-standards/#TOC-2. All Whittlesea Music teachers hold a current Working with Children's Check.
