WELCOME TO SWIM EXPERTS

We look forward to supporting your child through their learn to
swim journey!

Following are our Membership Policies which you should read
before signing the Enrolment Form.

1. General Information

We are a private, members’ only facility, and children may only
begin lessons once membership has been accepted. A position in
a class is secured only once it is paid for in advance.

-Enrolment is ongoing and you can start at any time
-Your child will be placed in a class and will attend on the same day and time each week
-We do not hold places or accept part payments
-Memberships and lessons are NOT transferable nor refundable
to other people including family members, and cannot be
credited unless Swim Experts is at fault
-Planned closures are on all public holidays and for up
to two (2) weeks over the Christmas/New Year period. You are
not charged for these days, therefore make up lessons are not
required
-If a group lesson has one (1) or two (2) students in it, Swim Experts
reserves the right to consolidate that class. At least one week’s
notice will be provided of the change and we will do our best to
find a suitable alternative class
Swim Experts does not guarantee teacher requests and teacher
schedules may change at any time
-We have an unlimited makeup lesson policy that is detailed separately.
-You will be given access to a Customer Portal which allows you
to manage your child’s enrolment. It is critical that you check
your emails for notifications regarding this

2. Membership Fee

A once-off membership fee of $35.00 per child is charged and a
membership pack provided. This fee is non-refundable and is due and payable upon booking your child into lessons. If you re-enrol within 6 months of a previous cancellation, Swim Experts may elect to waive this membership fee.

3. Lesson Fees/Payment System

Lesson fees are payable in advance and only current, paid
members can attend classes. A position in a class is not held
without payment.

Group Lessons: $18.50/lesson

Private Lessons: $60.00/lesson

The fee structure is calculated on a ‘cost per lesson’ basis. Our
preferred option is monthly payments via Direct Debit. Fees are always paid in advance.

*Direct Debit is a month-by-month payment option.
Payments at Swim Experts are processed on the 25th of each month
-A Direct Debit form must be completed and returned upon
enrolment
-Please note any additional fees that are indicated on the form,
including fees for declined debits
-A deduction will be made monthly from your nominated bank
account or credit card on the noted date
-The Direct Debit amounts payable may differ depending on how many lessons there are in the period you are being charged
for. For example, if charged monthly there may be four or five
lessons in that month
-Membership is ongoing and debits will continue until a
completed cancellation form is received by Swim Experts at least two (2) weeks before the end of the month. If we do not receive the form on time, the following month will be charged
-When commencing lessons mid-month, you will be charged
upfront for the remaining lessons in the month to align with the
Direct Debit processing dates, along with the membership fee
and any deposits
-A security deposit equivalent to up to two (2) weeks’ lessons
may be charged with the upfront payment for the remainder of
the month. Upon the customer providing the required two (2)
weeks’ notice of cancellation, these lessons can then be utilised
-Failed Direct Debit payments must be paid for prior to the next
scheduled lesson
-Failed Direct Debit payments incur an admin fee from the Direct Debit provider. Swim Experts may also charge an administrative fee for failed Direct Debit payments
-If your Direct Debit payment fails more than three (3) times in a row, Swim Experts reserves the right to suspend Direct Debit payments and request upfront payments


4. Changes to Lesson Fees

We try to keep our fees as low as possible whilst maintaining the
highest standards. However, as costs increase, Swim Experts reserves the right to occasionally adjust our fee schedule. You will be given a minimum of 14 days’ notice of any new fees.

5. Discounts

If three (3) or more members of one family attend swimming
lessons they will receive the following discounts:

-Membership is capped at three for families of three or more
students e.g. a family of five enrolling for lessons would receive
free membership for their fourth and fifth child
-A 10% discount applies to the lesson fees of the third and
subsequent children e.g. in a family of four the first and second
children’s fees would be full price, while the third and fourth
children’s fees would be 10% off
-Most children benefit from attending more than one lesson per week. A discount of 10% is offered for each additional weekly lesson a child may undertake


7. Cancellations

All cancellations require two (2) weeks’ written notice. No paid
fees are refundable.

-Direct Debit payment cancellations require a notice of two (2)
weeks prior to the end of the month or the scheduled Direct
Debit date
-If two (2) consecutive classes are missed and there has been
no communication from the family, Swim Experts reserves the right to cancel the membership and you will not be entitled to a refund Membership Cancellations by Swim Experts.

We reserve the right to cancel your membership if you do not
follow the set policies or if you or your children conduct themselves inappropriately our site.

8. Swim Attire

Reusable swim nappies are mandatory for hygiene reasons
as faecal incidents can result in pool closure. Any child who
requires nappies normally must wear a reusable swim nappy
for lessons

-Swimming caps are provided as part of the membership pack
to all independent swimmers. These are recommended to be
worn to ensure fewer distractions for your child and for pool
hygiene
-It is recommended that parents/carers wear a rash vest in the
water. This assists the child to gain independence through
reaching for and holding the shirt instead of the parent having to always lift and hold the child
-No streetwear/casual clothes will be permitted in the pool e.g.
cotton t-shirts, shorts, etc.
-Swimwear (including nappies) must not be removed on pool deck at any time

9. Photo/Video Policy

At Swim Experts, we welcome you capturing the special moments of your child on camera or video, however the privacy of others must also be respected. Capturing still or video footage is conditional upon the following:

-If you capture an image or private conversation of another child or individual, you must have all relevant individuals (or their parents) consent to use, publish, or broadcast images or video footage
-Under NO circumstances are cameras or mobile phones to be
used in change room areas or showers
-You agree to comply with any request by Swim Experts staff to
discontinue use of your camera, mobile phone or video, and
to delete requested images or footage, where Swim Experts staff reasonably consider that someone’s privacy may be breached
-Swim Experts may take photos and videos to use for social media and
other marketing purposes. Swim Experts may also use photos or videos posted onto social media at their discretion. If you do not want to have photos or videos taken of you or your child, please inform us below.

What We Expect of You as a Member:

Comply with our rules and follow directions of our staff:

-Inform us if your child has any pre-existing injuries or health issues
-Pay your fees on time
-Keep us updated on any change of your personal details including contact and bank details
-Be courteous, respectful and kind to our staff, the parents and children at the centre
-Supervise and mind your children at all times, including
being at the centre when they are in the pool
-No food around pool area or glass containers allowed
-Be responsible for your own personal belongings
-Belongings left at Swim Experts are put in the ‘lost property’ area and periodically donated to charity
-Keep your child out of lessons for the specified Health Department exclusion period of two (2) weeks after an incidence of diarrhoea or vomiting or other communicable illness so that it is not passed along to fellow students and teachers
-Be mindful of exclusion periods for illness – if your child is not well enough to attend school/day care etc, then we respectfully request that you notify them as absent from their swimming lesson also.
-Please do not bring siblings who are unwell to the centre to spectate a sibling’s lesson.

Cancellation Policy

All Cancellations require a 2 weeks written notice and no paid fees are refundable.

• Direct Debit Payment Cancellations for scheduled payments for the next month, must be made by 20th of the month. If this is not done, the scheduled direct debit for the next month will go through

• 12 Week Pre-Payment Cancellations require 2 weeks notice prior to the end of the 12 week block (At lesson number 10)

• If 2 classes are missed and there has been no contact from you, Swim Experts reserves the right to cancel the membership and you will not be entitled to a refund

Payment Options

Lesson fees are payable in advance and only current, paid members can attend classes. A position in a class is not held without payment.

Membership Fees are charged as we are a members only facility and you are provided with a membership pack.

Membership Fee: $35 per child
Group Lessons: $18.50 per lesson
Private Lessons: $60 per lesson

Fees are calculated on a ‘Cost per Lesson’ basis and are charged for the full month, in advance via Direct Debit.

Your payment details can be managed through the portal for your safety and security.

If our facilities have to shut due to unforeseen circumstances, we will accommodate makeup classes or provide credits. Refunds are not offered for unforeseen closures.

Direct Debit payments are processed on the 25th of each month:

• We partner with IntegraPay for Direct Debit transactions

• A Direct Debit form must be completed and returned upon enrolment

• Fees associated with Direct Debit payments are noted on the Integrapay form & are a fee charged by Integra Pay & not Swim
Experts.

• A deduction will be made monthly from your nominated bank account or credit card on 25th of each month

• The Direct Debit amounts payable may differ depending on how many lessons there are in the period being charged for (for example if monthly it may be 4 or 5 lessons in that month)

• Membership is ongoing and direct debits will continue until a completed cancellation form is received at least 2 weeks before the end of the month. If we do not receive the form on time, the following month will be charged

• When commencing lessons mid-month, you will be charged for the remaining lessons in the month to align with the Direct Debit processing dates, along with the membership fee and deposit

• Failed Direct Debit payments must be paid for prior to the next scheduled lesson - failure to pay fees within this timeframe will result in removal from the program and loss of positions.

• Failed Direct Debit payments incur an admin fee from the Direct Debit provider as noted on their form.

• Swim Experts also charge an administrative fee for any repeated failed Direct Debit payments

• If your Direct Debit payment fails more than 3 times in a row, we reserve the right to suspend Direct Debit payments and request upfront payments

Privacy and Photography

Make Up Lesson Policy

We have an unlimited makeup lesson policy with the following conditions:

• Make-up lessons are valid for 60 days from the notified missed lesson date. Unused lessons are forfeited

Make-up lessons that were accrued prior to our closure on 22 March, must be used by 1 October 2020 or they will be forfeit.

• ALL makeup lessons must be booked in via the Customer Portal (after 1 September 2020) and must be used prior to your final lesson if cancelling.

• We must be notified of absence preferably via the Customer Portal, by no later than 1 hour prior to the class. When informed within this timeframe, you will be eligible for a makeup lesson. Notice of non-attendance less than 1 hour are not be eligible for a make up lesson

• Notifications of absence are preferred over the Customer Portal but you may be able to do these via phone, in person at the Centre, SMS, Email or Facebook messages too

• Cancellation of membership will result in the forfeiture of any un-used makeup lessons

• Makeup lessons are subject to availability and we cannot guarantee specific teachers, days or times

• Missed private lessons can be made up in a group class

• If a make-up lesson is missed, it cannot be re-booked

• Makeup lessons are NOT guaranteed and available ONLY when pre-arranged. It is your responsibility to book makeup lessons

• Make-up lessons cannot be backdated, used to transfer, extend lessons past your “paid to” date or reduce a Direct Debit payment

• If classes are full, makeup lessons will not be able to be booked as we do NOT overbook classes.

• Due to class availability, make up classes can only be booked 48 hours in advance

• Doctor’s certificates are advised for extended illnesses

Swim Nappy Policy

Any child that is participating in any class who is under the age of 3 or who are not fully toilet trained MUST wear a reusable swim nappy.

? The only reusable nappy that is permitted in our pool is the "Little Toggs - Happy Nappy". These nappies are the best on the market.

?Reusable swim nappies are mandatory for hygiene reasons as faecal incidents can result in pool closure. Any child who require nappy’s normally (even if almost trained), must wear a reusable swim nappy for lessons.

?A disposable swim nappy is only permitted for a trial lesson.

?Swim nappies are important to ensure that feacal matter (poo) does not enter the water - this assists us in ensuring the facility is clean and sanitary - it is possible for communicatable diseases to be transmitted through faeces that are not properly managed.

?Teachers will conduct nappy checks prior to each student entering the water (for babies classes) and will refuse entry to the pool to any participant without correct swimwear.

?Swim nappies should be well looked after with elastic that is firm fitting. If elastic is deteriorated, a new nappy will be required.
