Students who attend one class only, will not progress to wearing pointe shoes (grade required), as your child’s strength and safety are the priority of our team. LINK TO PAYMENT PLAN FORM
Payments Explained
All fees are to be paid via direct debit (through Ezidebit or Stripe, coming soon). We do not accept weekly cash payments. When you enrol, you will choose one of the three payment plan options above (full, 50/50, or fortnightly). Fees are invoiced on a term basis, and you’ll receive a confirmation of your payment schedule. Please note: If you add classes mid-year or incur additional costs (e.g., exam or costume fees), these will be invoiced and billed separately, with detailed dates for when the debit will be scheduled.
Dishonours & Failed Payments
ADC charges $15 for each dishonoured payment. All dishonoured payments will be charged five business days after the dishonour, allowing time to recover funds. If you need an extended time frame before ADC attempts to re-debit, you must contact accounts at accounts_@ambiancedance.com.au to request a payment plan at accounts_@ambiancedance.com.au.
Dishonoured payments may also incur a bank dishonour fee, which is passed on to the account holder. Please review your bank's terms and conditions.
Repeated failed payments could lead to:
• Suspension from classes, students cannot attend classes if they are not financially and/or
• The requirement to pay in full for future terms.
Our payment processors (such as Ezidebit or Stripe) charge an additional fee for failed transactions. Outstanding fees beyond the current term may be referred to an external debt collection agency, with any associated costs passed to the customer. ADC urges families facing financial difficulty to contact accounts promptly to arrange a payment plan and avoid extra charges.
Refunds, Withdrawals & Fee Adjustments
• Fees are non-refundable once a term has commenced, except where required by law.
• Missed classes, illness, holidays, or timetable changes do not entitle families to refunds or fee reductions.
• Withdrawal from classes requires written notice in accordance with ADC’s Withdrawal Policy in the terms and conditions of this booklet.
These terms comply with the Australian Consumer Law (ACL) and industry standards for term-based performing arts education.
Legal & Compliance Statement
This policy is: - Aligned with the Australian Consumer Law (Competition and Consumer Act 2010 (Cth)) - Consistent with WA Fair Trading guidance on advance payment services - In line with dance industry best practice for enrolment-based tuition models.
ADC reserves the right to amend this policy with reasonable notice. The most current version will always be available via the ADC website and Member Portal.

Terms & Conditions
When you enrol at ADC, you enter into an agreement that outlines both parties’ obligations. Our Terms and Conditions comply with Australian Consumer Law to protect our students and our studio. Below is a summary of key T&Cs:
The Terms & Conditions below must be read and agreed to before enrolment.
1. Trial classes are $25 per class with no future commitment. Enrolment must occur at the time of the trial for the trial fee to be deducted from the newly enrolled invoiced term fees.
2. All customer information, including invoices, can be found on the Think Smart App. Please refer to this APP for invoices, statements and individual direct debit amounts. (CODE JHKVFHZ3)
3. Penalties will apply to late payments and broken agreements. A late payment fee of 10% (of your total invoice) will be added to the invoice. If payment is still not made, debt collection will be pursued at your expense.
4. A $15 DDR dishonour fee will be applied if a set DDR payment is dishonoured. EZIDEBIT will also charge a nominal fee.
5. To discontinue or transfer classes, YOU MUST complete the Online Withdrawal/Change Class Form two weeks before the end of the previous term. Fees for relevant classes in the current and preceding term will be charged if you fail to comply. Enrolled classes are for the entire academic year. You must notify ADC administration of any changes in WRITING using the above-linked form.
6. Refunds or class credits will NOT apply if students withdraw mid-term because they change their mind or don't like a particular class.
7. Credits are not applicable if students are on a school camp, on family holidays, or sick. If a credit is approved for any cancelled classes or extenuating circumstances, it will be deducted from the next term's invoice or the following year's classes. Credits are only applied at the Director's discretion.
8. Make-up Classes & Credits: ADC does not offer make-up classes or fee credits for occasional missed classes due to personal reasons such as illness, holidays, or school camps. Tuition fees cover your spot in the class for the term, and the costs remain the same whether a student attends every class. In the rare event that ADC cancels a class (e.g. teacher illness and no substitute available), we will endeavour to arrange a make-up lesson or apply a credit towards the next term's fees at the Director's discretion
9. Cancelled Classes: For classes with low enrolment (3 or fewer students), ADC reserves the right to cancel or merge the class with another to ensure a beneficial learning environment. If a class is cancelled by ADC and not replaced with an alternative, affected students will receive a credit or refund for that class.
10. The customer is responsible for checking the customer portal for all invoices and scheduled payments. Invoices will be available in the portal before term commencement.
11. Once you have enrolled in a class, you are liable for the full-term fees even if you/your child no longer wishes to attend. Suppose extenuating circumstances out of your control require you to withdraw early from classes; a $85 cancellation fee may be applicable to remove the entire fee liability. In that case, however, it is at management's discretion whether the $85 fee is applied, resulting in the entire fee liability being waived. Proof of circumstance may be required.
12. Failure to pay any fees will result in the loss of your enrolment position.
13. Outstanding fees will be pursued through debt collection and, if necessary, legal action if accounts remain unpaid. The customer will be responsible for any costs associated with debt collection.
14. Cash payments are NOT ACCEPTED for fee payments.
15. We regret that we cannot accept weekly payments for term fees. The payment method is via EZI-DEBIT PAYMENT PLANS ONLY.
16. ADC scheduled classes may differ on public holidays, and some classes might be cancelled. If your class is on a public holiday, you will still be charged the usual term fees. You can attend an alternative class within the same week as a make-up. This policy exists because our term pricing already includes the number of tuition weeks, and we often offer alternatives such as combined or make-up sessions during holiday periods. We will notify you in advance of any holiday class cancellations.
17. The Direct Debit table on the website shows the yearly debit dates. Once the online DDR form is completed, you select and agree to these debit dates per your chosen payment option.
18. If you have completed a DDR form in previous years, the original payment plans OPT 1, 2, and 3 will remain in place. If you require an alternative payment plan, you must email accounts to request a change before term commencement.
19. Any extra classes required throughout the year will be charged accordingly. For example, additional exams or troupe rehearsals/classes are not included in term fees. Costs will be advised before the allocated rehearsals.
20. Casual classes can be attended at the normal rate of the class +50% loading, subject to management's approval and discussion.
21. Please be reminded that only with the fulfilment of financial commitments by all ADC members can Ambiance Dance continue to provide first-class tuition for all students. Fee payment plans for the current year must be selected before your child's first class. Any non-financial student before classes commence will not be permitted to enter the class due to insurance constraints.
22. Classes with three students or fewer may incur a surcharge to cover teachers' costs. Running classes with such limited numbers might mean merging classes if needed to avoid this cost.
23. Account Details payable to BSB: 062-692
Account number: 4546 2619
Name: Ambiance Dance Company Pty Ltd
24. Account-related matters must be dealt with in WRITING via email to ensure records are maintained - social media communication WILL NOT be accepted accounts_@ambiancedance.com.au
Code of Conduct
Ambiance Dance Company (ADC) maintains professionalism and integrity in all its activities and representations. Our aim is to provide a safe, inclusive, and supportive environment that nurtures a passion for dance and helps build important life skills such as respect, commitment, reliability, and teamwork. To guarantee a positive experience for students, parents, carers, family members, and staff alike, following these guidelines is essential.
Student Code of Conduct
As an ADC student, you are expected to conduct yourself in a way that reflects our studio’s values: Create, Express, Inspire. The following guidelines apply to all classes, rehearsals, and ADC events:
1. Treat all teachers, staff, parents, and students with respect at all times.
2. Arrive 5-10 minutes before the scheduled class to ensure a smooth start.
3. Attend all classes regularly, except in cases of illness, injury, or family emergencies.
4. Prioritise studio commitments over social events by attending classes, rehearsals, and performances as scheduled.
5. Set a positive example for younger dancers through respectful language and appropriate behaviour.
6. Respect and care for studio facilities and equipment.
7. Bring a labelled water bottle to every class.
8. Hair must be tied back neatly and kept away from the face during class. Hairspray and clips should be used if necessary. Loose hair or fringes that obstruct vision will not be permitted, as they may affect dance performance and safety.
9. Ballet and exam classes require hair to be in a bun.
10. ADC uniform or appropriate dance attire must be worn to all classes.
11. Correct dance shoes are required for each class. Acro students must wear acro shoes with rubber grip soles. Tiny Tots must wear jazz pumps (not jazz shoes), and all tap shoes must have rubber soles and tap plates (Capezio preferred). School uniforms are not permitted as class attire.
12. Jewellery, watches, and large earrings must not be worn during class.
13. Mobile phones must remain switched off or on silent mode during class. Phone use is prohibited unless instructed for routine recording.
14. Dispose of rubbish responsibly and keep the studio clean.
15. If you need assistance, ask a teacher or staff member. We are here to support you.
By following this Student Code of Conduct, you help create a positive and professional learning environment for yourself and others.
Remember: how you conduct yourself in class not only affects your own progress but also influences your classmates. We expect students to take these guidelines seriously
Parent and Carer Etiquette
We value the support and cooperation of parents and caregivers in creating a friendly, family-oriented studio. The following etiquette guidelines ensure that “everyone”. teachers, students, and parents work together respectfully:
1. Demonstrate courtesy and respect towards teachers, students, staff, and fellow parents. Be a positive role model for children in how you speak and behave. Disrespectful, aggressive, or harassing behaviour toward our staff or other families is not acceptable.
2. Schedule meetings with teachers outside class hours by emailing info@ambiancedance.com.au. Teachers cannot engage in discussions between or during classes.
3. Direct any concerns or complaints to the ADC administration in writing. Gossip, negativity, or defamation of ADC, its staff, or other families will not be tolerated. Harassment, bullying, or disrespectful conduct towards the director, teachers, children, or other parents may result in further action. Creating a toxic environment through rumours or negativity goes against our values. Any such behaviour (including harassment or bullying of staff or other parents) may result in the family being asked to leave the studio.
4. Stay informed by reading emails, newsletters, and Facebook updates. The responsibility lies with parents to keep up to date with studio communications.
5. Please always supervise siblings. ADC is not a daycare service. Children must not arrive earlier than 10-15 minutes before class and must be collected promptly. Contact the administration if delayed.
6. Refrain from entering studio spaces without permission from teachers. Waiting areas and foyers are designated for parents and siblings.
7. Please support your child’s growth by encouraging commitment and positivity during their dance journey.
8. Do not take videos or photos without prior consent. Some parents do not wish their child to be photographed, and in some cases, recording choreography is not allowed. Always ask the teacher/director before recording during open classes or events. Similarly, respect the privacy of our staff and other families on social media. Do not post content from classes or performances that violate other people’s privacy or ADC’s policies.
9. Respect ADC’s policies on professional boundaries between teachers, students, and parents. Our teachers are friendly and caring, but their relationship with students and families should remain professional. We ask that parents NOT seek out teachers on personal social media or phone for studio-related issues. Use official channels (studio email or phone) for communication. This helps our staff maintain their work-life balance and ensures you receive a timely, documented response via the appropriate medium.
10. Always use respectful and child-appropriate language.
11. Compliance with this Code of Conduct ensures a nurturing environment where all students thrive. Failure to adhere to these guidelines may result in disciplinary action, including termination of enrolment without refund.
By following this Parent Code of Conduct, you contribute to a harmonious community where all children can learn and grow in a positive environment. We appreciate your cooperation and understanding.
ADC is a Child Safe organisation. All staff hold current Working with Children Checks and follow our Child Safety Policy (see ADC Child Safety Policy). We encourage students to voice any concerns, and parents should report safety issues to the Director immediately. Together, we create a nurturing, safe space for every dancer.)
Disciplinary Actions
ADC may enforce consequences if these Codes of Conduct are broken. Minor breaches might result in warnings or meetings with the studio director, while severe misconduct like inappropriate, disrespectful, or aggressive behaviour by students or parents can lead to immediate termination of enrollment without a refund. We hope such measures are rarely needed, but the safety and well-being of our students and staff remain our highest priorities. Our core values, respect, safety, and inclusion, are essential.
By following these guidelines, you help us keep ADC a welcoming environment for everyone. Thank you for your understanding and support.
Communication Policy
Email is the preferred contact method, as all communication records can be kept. Please direct all queries/requests relating to the following emails:
info@ambiancedance.com.au Administration or customer service-related queries, Performance Team or exam queries, communication with teachers
accounts_@ambiancedance.com.au Account-related queries, including withdrawals
elevate@ambiancedance.com.au Certificate Course information for parents and student correspondence.
Clients must ensure ADC has the correct email address on file (this can be updated via the customer portal at any time) and that they check their spam folders to ensure our email addresses are accepted emails within their e-mail inbox. All correspondence from Ambiance Dance Company will be via email; please check your inbox regularly! Whilst email is ADC’s preferred method, should you have any questions or queries that require phone or face-to-face contact, please call the studio phone numbers (0419 927 270 or 9409 6868) or see reception during allocated reception/phone hours.
If you are communicating that your child is unwell, you can do so via the customer portal app or email so the relevant teachers know in advance. Please DO NOT post absences/sicknesses to the Members Only FB Page. These posts will not be approved as they clog the FB feed.
Please be mindful that our teachers are here to teach your children. While we are happy to answer your questions, teachers are unavailable during or between class times for any reason. Please DO NOT try to have a quick chat, as we do not wish to offend you when we are running between classes.
Please do not contact staff members via personal mobile phone or social media regarding studio-related questions. While we understand that you may have personal friendships with some staff, I implore you to consider if the requested information is essential to encroach on their non-working time. Staff have been asked to refer you to the appropriate communication methods, so please do not be offended if they respond in this manner.
Meetings with the Studio Director can be requested via email. This will allow all required parties to book enough time to ensure your request is handled adequately. ADC administration email protocol responds within 48 hours; if you do not receive a reply, please resend/follow up, as it may have gone to junk mail. Please do not assume we received your correspondence if you do not get a reply; per protocol, ADC will always endeavour to reply within 48 hours.

Duty of Care
All participants acknowledge that while ADC provides quality instruction and a safe environment, no liability is accepted for any accidents or injuries that occur during studio activities, concerts, competitions, or other performances; students participate at their own risk. Families must inform the studio of any medical or special needs that could affect the student’s participation, such as injuries, learning disabilities, allergies, or medical conditions. All students are covered by our group personal accident insurance, funded through the enrolment fee. However, participation outside supervised sessions, such as practising at home or on the grass out the front of the studio without proper guidance, is at the student’s own risk, and ADC disclaims liability for injuries sustained in such circumstances.
Release and Waiver forms must be signed before enrolment can be accepted through the online enrolment. By accepting our terms and conditions, you accept the waiver.
Punctuality and Attendance
Please ensure that your child is punctual to all classes & dressed appropriately.
Constant lack of attendance, especially in Performance Team classes, stresses the rest of the team. Performance team enrolled members must adhere to the performance team policy (refer to the PT contract)
Consequently, you may be asked to withdraw from class/es if constant absences are recorded.
Viewing Cameras
At ADC, we have a live feed (CCTV) of all classes on the TV in the waiting area. This will allow you peace of mind and the enjoyment of watching your child when you can remain in the foyer. The camera records to the hard drive and can be reviewed remotely by the Director even when not on site. This ensures management can always see what is happening in BOTH the classes and the foyer.
Please Note: The foyer TV will NOT be turned on in Terms 3 & 4 due to concert preparation, and the TV may be switched OFF any time during the year at the Director's request. Please DO NOT loiter around the TV. The cameras continuously record even if the TV is turned off, so management can always refer back to the footage.
Carpark
We ask you to park only on the bitumen verges around the studio for drop off and pick up during business hours; this includes Saturday mornings. Please do not park in the staff parking, the grassed verge roped off, or any other business (tenants) bays, as this causes problems within the strata. Please do not park on the corner; it is illegal and against all road rules. This action could result in the council ranger issuing you a fine.
YOU ARE RESPONSIBLE FOR YOUR CHILD/CHILDREN OUTSIDE OF CLASS TIME. PLEASE ENCOURAGE THEM TO REMAIN INSIDE THE ADC PREMISES.
Uniforms and Class Attire
Ambiance Dance’s uniform colours are pink, black, and white (boys may wear purple). All students representing ADC via external performing (corporate events/competitions and the like) must wear the Ambiance Dance Jacket and ADC Leggings or shorts. Studio Jackets, T-shirts and Dance clothes are available from the uniform store at RECEPTION.
We have uniforms specially designed for Ambiance Dance by various suppliers; they are compulsory for ALL students. Please DO NOT buy outside dance attire before mandatory ADC uniforms are purchased for enrolled classes and team events. Please REMEMBER uniforms and appropriate ADC attire make ALL students feel part of the team and show the UNITY of OUR STUDIO. Pride in one's presentation and appearance are paramount to an individual's development.
PLEASE DO NOT spend excessive amounts of money on dance attire that is not required when you can PURCHASE THE TEAM UNIFORM that is COMPULSORY for OUR TEAM!
Correct attire, including shoes, for each class and genre has been outlined for you in the Dance Class Attire table on the website. We do ask that all hair be tied back neatly and securely so that the hair is off the face and does not cause a distraction while in class.
All Students should bring their shoes in a Zip-Up Dance Bag clearly labelled. Students MUST wear shoes in all classes unless specified by the teacher. The colour of shoes within the WHAT TO WEAR document is a guide only; sometimes, the colour needed for the concert or exams may differ. The shoes' colour depends on the costume choices and will be advised closer to the time.

End of Year Showcase Performance - ALL ADC students are required/involved
Ambiance Dance Company produces an end-of-year showcase, which allows all ADC dancers to perform for their family and friends. It is an exciting, empowering and confidence-building experience for them and a chance to showcase their hard work. ADC cherishes involving all students and encourages even our youngest and newest performers to hit the stage.
Our Annual Showcase should be held within the last five weeks of Term 4. Confirmation of dates will be given at the end of Term 1. Detailed information about the Showcase will be provided closer to the time. A non-refundable concert levy of $60 per student will be invoiced and payable at the end of Term 2. If the invoice remains outstanding, you will not be included in the showcase, and costumes will not be provided. Once you have paid your levy, this will confirm your commitment to the concert. If you pull out, once you have committed, you will lose the concert levy and must pay costume costs and fees associated with the concert. We have personal dressmakers and also order ready-made costumes. Costume costs range from $70-$100 depending on age group and requirements. Senior costumes and some costumes (dependent on detail/ custom-made) can go up to $150. We are mindful of keeping costume expenses as low as possible. However, we also wish to ensure that all students are impeccably and professionally groomed.
For those families new to the dancing world of concerts, some parents start their own Showcase Savings Plan (online form Link) and put money aside each week. This makes paying for the costumes much easier, especially as the showcase is close to Christmas. Please email accounts_@ambiancedance.com.au if you wish to set this up on your account.
ADC is excited to have you join the team!
At ADC we wholeheartedly agree with Audrey Hepburn.
Key Policies
For those interested in the full text of certain ADC policies or looking for more resources, here are direct links and references:
• Child Safety Policy: Ambiance Dance Company is committed to providing a child-safe environment. Our comprehensive Child Safety Policy outlines how we ensure students’ safety, including procedures for working with children, reporting mechanisms for any concerns, and our adherence to the Australian National Child Safe Standards. This policy is available on the ADC website under the Noticeboard section (Members area). Please take time to read it. It covers how we handle privacy in relation to children, protocols for staff (e.g. no one-on-one situations), and our strategies to educate students about their own safety. (In summary: we have legal and moral obligations to protect children, and we follow them rigorously.)
• Privacy Policy: We respect your privacy and protect your personal information in accordance with Australian Privacy Principles. Our Privacy Policy is also posted on the Noticeboard tab of our website. It explains what data we collect (like contact info, medical info for students), how we use it (e.g. for enrolment and emergency contact), and how it is stored securely. It also covers media consent and use of photos/videos. Essentially, any photos of students used in marketing will only be used with consent, and personal details are never shared with third parties except as required for studio operations (for instance, providing exam registration info to Comdance). We encourage you to read this policy so you’re fully informed.
Thank you for taking the time to read the 2026 ADC Handbook. We have aimed to make it comprehensive yet easy to understand. This Handbook will be updated as needed, and any prior versions are no longer valid.
